- Fill in the Client name, Contact person and Email address for billing.
- Fill in Hours / month, or tick Time and materials (flexible hours) when there is no fixed number of hours.
- Fill in the Hourly rate (excl. VAT).
- Tick the Tasks you do for this client.
- Optionally fill in a Budget per month (€, excl. VAT) and a Rate per type of work (empty = client rate) for each ticked task.
- Click Add client.
Click edit to change a client, remove to delete it with all its revenue, and use the arrows to change the order.
2. Revenue per month
- Click a client to expand it.
- Choose the Year under Revenue per month (excl. VAT).
- Fill in the amounts per month.
- Click Save 2026 revenue (the button shows the chosen year).
3. Rates
- The Hourly rate applies to all hours for the client.
- A Rate per type of work overrides it for that type, for example a higher rate for one kind of work.
- Only hours marked Billable count. Their value is hours × rate.
4. Budget
Clients › Budget shows per client under Hours this month:
- hours worked against the hours per month;
- the Value of billable hours against the budget per month.
A client turns orange near the budget and red when it is over budget. Costs you recharge to the client count towards the amount budget.
Below that, the monthly schedule spreads the agreed hours over your workdays and days off.
5. Email when a budget is reached
When a client reaches 100% of the hours budget or the amount budget, your team gets an email Budget reached. It is sent once per client, per month and per budget. Turn it off per person with budget reached under Manage › Team.
6. Costs
Book one-off costs per client, such as a plugin license or advertising budget you advanced.
- Go to Clients › Costs.
- Choose the Client, the Date and fill in a Description.
- Fill in the Amount (€, excl. VAT).
- Tick Recharge to client if the client pays for it. Otherwise it is booked on own account.
- Click Book cost.
Click + receipt to add a photo or PDF of the receipt (up to 5 MB). Large photos are reduced automatically. Remove it with Remove receipt, or the cost with delete.
- Recharged costs count towards the client's amount budget.
- Costs on your own account reduce the margin.
7. Figures and margin
Clients › Figures starts with four totals: Billable hours / month, Billable / workday, Potential / month (hours × rate) and Revenue this month.
The table Hours versus results shows per client:
- Hours p/m: hours worked this month, otherwise the agreed hours.
- From tasks: hours spent logged on tasks.
- Revenue p/m: the average of the last three months you entered.
- Value of hours: billable hours this month × rate.
- Margin: revenue minus the value of hours and minus this month's costs.
- Per hour: revenue divided by hours.
- Client revenue and Client visitors: growth over 90 days, only when the client's business is in Metrara.
Click a column to sort. The table helps you prepare a pricing conversation.
